AP Inbox
Supplier invoices arrive in the AP Inbox from two sources: automatically from connected integrations (banks, expense platforms, and procurement tools) or uploaded manually by your team. Each invoice in the inbox has a clearly visible status so you can see where it is in the workflow at a glance:
You can filter the inbox by entity, supplier, due date, currency, and status. Sort by due date to quickly identify what needs attention today.

Invoice arrives
Invoices enter Sintropix either automatically from a connected integration (Rinde Gastos, Ramp, Xpendit, or a bank feed) or by manual upload (PDF, XML, or image). If your bank feed is connected, payment confirmations from Santander, BCI, BBVA, or any other integrated bank also flow in automatically.

Key fields are extracted
Sintropix extracts the supplier name, total amount, currency, due date, line items, and tax breakdown from the invoice document. The extraction is visible in the invoice detail view, and your team can correct any field before approving.

Finance team reviews and approves
The invoice moves to Draft status in the inbox. A finance team member opens it, confirms the extracted fields, and clicks Approve. If the invoice amount differs materially from a linked purchase order, Erwin flags it for review automatically with a note explaining the discrepancy — so mismatches don’t slip through unnoticed.

Payment is scheduled and the entry posts
After approval, set the payment date and payment method. Sintropix stages the journal entry — debit the relevant expense or asset account, credit Accounts Payable — and posts it to the general ledger on the payment date. Once payment is confirmed, the AP balance clears and the invoice moves to Paid.

The AP Aging Report gives you a complete picture of outstanding obligations grouped by how overdue they are:
Filter the aging report by entity to see each subsidiary’s AP position separately, or run it consolidated across all entities. Filter by supplier to pull up everything owed to a single vendor.
Multi-Currency AP
Your subsidiaries receive invoices in local currencies — Chilean pesos, Mexican pesos, Colombian pesos, Brazilian reais, Peruvian soles, and Argentine pesos — as well as in USD and EUR. Sintropix handles all of them. When an invoice is captured, Sintropix records the transaction currency (the currency on the invoice) and automatically converts it to the entity’s functional currency using the exchange rate in effect on the invoice date. If your reporting currency is USD, a second conversion layer produces the USD equivalent for consolidated reporting. FX rates are updated daily. If the exchange rate between the invoice date and the payment date produces a gain or loss, Sintropix posts the FX difference entry to your foreign exchange gain/loss account automatically — no manual calculation required.Accounts Receivable
