When you connect your Gmail account, Sintropix can search and read your email whenever it needs to. You, or Erwin, can then find a supplier’s invoice, the receipt behind an expense, or an older email, without forwarding anything.
Sintropix only reads. It never sends, changes, or deletes email, and it doesn’t mark anything as read. It doesn’t keep a copy of your mailbox either: it reads email when it’s needed.

Connect or forward?

There are two ways to get your Gmail invoices into Sintropix. You can use both.

Before you start

  • You need a Sintropix user who can edit. A read-only user can’t connect accounts, so ask whoever manages your company in Sintropix.
  • Have the password of the Gmail account you want to connect at hand.
  • Use a computer, because Google asks for your approval in the browser.

Connect your account

The Sintropix app shows its labels in Spanish or English, depending on your language. This guide gives the Spanish label first, with the English one in parentheses.
1

Open Integrations in Sintropix

Open your user menu and go to Configuración → Integraciones (Settings → Integrations).
2

Pick Gmail

  1. Click Conectar integración (Connect integration).
  2. Filter by the Correo (Email) tag and pick Gmail.
3

Approve access in Google

Sintropix sends you to a secure connection page, which keeps the access to your email for Sintropix, and from there to Google.
  1. Pick the Gmail account you want to connect, or sign in to it.
  2. Review the permissions Google shows and allow access.
Google shows that full access to your email is requested, including sending and deleting. That’s the only set of permissions Google accepts for this connection, but Sintropix only reads: it never sends, changes, or deletes email.
4

Return to Sintropix

When you finish, you land back on Integraciones and your Gmail account appears in the list.
5

Say what the account is for

Open the account’s panel. In Propósito (Purpose), the first row of its details, write what you use that email for, such as “Supplier invoices” or “Managing director’s personal email”.Erwin reads the purpose to decide which account to search, especially when your company connects more than one. The clearer it is, the better he searches.

What Sintropix does with your email

  • Searches and reads when needed. You, or Erwin, can ask Sintropix to find a supplier’s invoice in any connected account. Erwin also searches on his own, for supporting evidence, when he reviews a record or leaves a follow-up.
  • Copies attachments into your books. It can copy a file, such as an invoice PDF, to attach it to the matching document.
  • Keeps nothing an email says. Erwin reads email to reconcile your books and to propose follow-ups. He never copies an email’s text, amounts, or personal data into his wiki or into a record. His wiki keeps only patterns and pointers, such as which supplier sends its invoices to which account. When you ask him for something sensitive, such as a salary, he reads it from the email and tells you it comes from your connected account.
  • Logs every read. Each email Sintropix reads and each file it copies is logged with the reason.
  • Leaves your inbox alone. It doesn’t send, reply, archive, delete, or mark anything as read.
Only people in your company who can edit in Sintropix can read the connected email. A read-only user can’t.

Troubleshooting

The access expired or was revoked, for example because you changed your password or removed access from your Google Account. Open the account’s panel, disconnect it, and connect it again with the steps above.
Sintropix couldn’t check the access at that moment. Reload the page later. If the notice stays, let Sintropix know.
In Google Workspace, your company’s administrator can restrict which outside apps can reach your accounts. Ask them to check that setting, or talk to Sintropix.
In Configuración → Integraciones, open the Gmail account’s panel and disconnect it. Sintropix stops reading that email, and the stored access is deleted.
